1. Introduction
Welcome to VocaScript. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website and tell you about your privacy rights.
2. Data We Collect
We collect and process the following data:
- Usage Data: We use third-party analytics services to understand how visitors interact with our website. This includes pages visited, time spent, and other standard metrics. Providers may change without notice.
- Error Logs: We use third-party error tracking services to improve stability. This may include technical details about your device and browser when a crash occurs.
- Operational Service Data: We process limited operational metadata related to media requests (such as source-link information and processing outcomes) to deliver the service, troubleshoot issues, and keep the platform reliable.
- Acquisition Source: When you first arrive, we record a privacy-safe marketing source (such as the referring website's domain or a campaign tag from the link you clicked) to understand which channels bring people to VocaScript. We never store the full referring web address, your IP address, or any personal data for this purpose. If you later create an account, we may link your earlier anonymous activity on the site to that account using a first-party anonymous identifier (a random id that does not directly identify you) so we can measure how people move from first visit to sign-up. This is used only for our own internal product analytics.
- Account Data: If you sign in, we create a persistent user record in our database containing your email address, name, and profile picture (if provided) from your authentication provider (e.g., Google, GitHub, Facebook). This is necessary to provide syncing across devices, manage your stored files, and facilitate account recovery.
- Payment & billing data: When you buy a paid plan, our payment processor (who acts as merchant of record) collects and processes payment details, billing address, tax information, and transaction identifiers. We do not store full payment card numbers on our servers. We retain the contact email supplied during checkout so we can identify your billing account and communicate with you about your paid service. The merchant of record's own privacy policy governs how they handle your payment data.
3. Content Storage & AI Processing
AI Processing
To provide transcription services, your media files and generated transcripts are sent to and processed by third-party AI services. We do not use your content to train AI models unless explicitly authorized.
For Guests (Unregistered Users)
Your media interactions are transient. While files are processed by our AI providers, we do not permanently store your media or transcripts on our servers. If you clear your browser data, your local copies will be lost.
For Registered Users
Your account profile, billing contact email (if you purchase a paid plan), media files, and transcripts are stored securely in our database and cloud storage to allow access across your devices. We retain your account information and content while your account is active. You maintain full control over your data and may delete individual files or your entire account at any time. We reserve the right to delete inactive or old content to manage storage capacity.
4. Your Data Rights
Under applicable data protection laws (such as GDPR and CCPA), you have the right to request access to, correction, or deletion of your personal data.
- Data Export: You can export a complete copy of your personal data, files, and transcript history at any time from your Account menu.
- Account Deletion: You can permanently delete your account from the Account menu. This action immediately and irrevocably deletes your user profile, all uploaded media, generated transcripts, and active sharing links from our active databases.
5. Cookies and Local Storage
We use essential cookies and local storage to maintain your session, store your preferences, and ensure the application functions correctly (e.g. authentication tokens, feature flags). We also use a first-party analytics cookie to remember the marketing source described above (privacy-safe, no personal data), and third-party analytics cookies if enabled. You can control cookie preferences through your browser settings.
6. Browser Extension
The VocaScript Browser Extension does not collect, store, or transmit any user data to external servers beyond the VocaScript application itself. All data processed by the extension stays between your browser and VocaScript. Please note that transcrition requests initiated through the extension are subject to the same data handling and privacy practices outlined in this policy and may be processed using third-party services.
URL & Cookie Access
When explicitly triggered by the user (via the extension icon, keyboard shortcut, or right-click menu), the extension reads the URL and optionally the authentication cookies for the target media platform and common video embed providers (such as YouTube and Vimeo). Cookies are only accessed when the user enables the "Include Auth Cookies" toggle. This data is transferred directly to VocaScript solely to facilitate media download and transcription. Cookies are written to a temporary file on our server for the duration of the download and are deleted immediately after processing — they are never stored permanently. Limited operational metadata may be retained as described in this policy.
Tab Audio Recording
The extension can record audio from a browser tab when the user explicitly clicks the Record button. Recorded audio is stored temporarily in local browser storage and transferred to VocaScript for transcription. The audio data is deleted from browser storage immediately after transfer. Audio is processed by VocaScript and its AI transcription processors solely to produce your transcript; it is not sold or shared for any other purpose.
Content Scripts
On supported media sites, the extension injects a small transcription button into the video player interface for quick access. This script only adds a UI element and does not read, collect, or transmit any page content or user data. The extension also displays a badge count of detected audio and video elements on the current page.
Local File Upload
Users can upload local audio or video files through the extension popup. These files are stored temporarily in browser storage and transferred directly to VocaScript. They are deleted from browser storage immediately after transfer.
No extension data is shared with third parties. The extension communicates exclusively with the VocaScript web application.
